We aim to acknowledge privacy enquiries within two business days and resolve straightforward requests within thirty days, subject to legal obligations.
2. Scope of this policy
This policy applies to personal information we process when you:
- visit or browse our public website;
- submit contact, project inquiry, or newsletter forms;
- message us on WhatsApp, including via our website chat entry point;
- communicate with us by email, phone, or social channels for business purposes;
- use a client portal or receive invoices and project updates from us.
It does not cover third-party websites linked from our pages. Those sites have their own privacy practices.
3. Information we collect
Depending on how you interact with us, we may collect the following categories of information:
- Identity and contact data — name, job title, company name, email address, phone number, and postal or billing address when you provide them.
- Communication content — the text of messages, form submissions, attachments, and files you send us, including WhatsApp conversation history.
- Project and account data — login details, project briefs, feedback, deliverable approvals, and billing records for active clients.
- Technical and usage data — IP address, browser type, device type, referring URL, pages viewed, session duration, and general analytics events.
- Marketing preferences — whether you have opted in to receive updates from us and how you interact with our emails or campaigns.
- Reference tokens — short-lived identifiers generated when you start a WhatsApp conversation from our website, used to connect your web session with your chat.
We do not intentionally collect special categories of sensitive personal data (such as health, biometric, or financial account credentials) through general enquiries. Please do not share passwords, full payment card numbers, or government ID numbers in web forms or chat unless we explicitly request them through a secure channel for a specific purpose.
4. How we collect information
We collect information in these ways:
- Directly from you when you fill in forms, send email, call us, or message on WhatsApp.
- Automatically through server logs, cookies, and analytics when you use our website.
- From integrated services such as WhatsApp Cloud API webhooks, payment processors, or email delivery platforms that relay information you have already provided.
- From your organisation when a colleague introduces you as a project stakeholder or billing contact.
5. How we use your information
We use personal information for legitimate business purposes, including to:
- respond to enquiries, provide quotes, and deliver services you request;
- operate, monitor, and improve our WhatsApp AI assistant and hand off to human staff when needed;
- manage client projects, contracts, invoices, and support requests;
- send service-related notices, project updates, and — where permitted — marketing about Precknash services;
- maintain website security, detect abuse, and troubleshoot technical issues;
- analyse aggregated usage trends to improve our content and user experience;
- comply with legal, tax, and regulatory obligations and enforce our agreements.

We process personal information on one or more of the following grounds:
- Consent — for example, when you submit a form, subscribe to updates, or start a WhatsApp conversation.
- Contract — when processing is necessary to prepare or perform a service agreement with you or your organisation.
- Legitimate interests — such as responding to enquiries, securing our systems, and improving our services, balanced against your rights.
- Legal obligation — where we must retain or disclose information to comply with applicable law.
Where consent is the basis, you may withdraw it at any time without affecting processing that already occurred lawfully.
7. WhatsApp, AI, and automated processing
When you contact us on WhatsApp, messages are received through Meta’s WhatsApp Business Platform and may be processed by automated systems — including third-party large language models — to draft replies to common questions about our services, pricing approach, and next steps.
Important points about automated handling:
- AI-generated replies are for general guidance and may occasionally be incomplete; a human team member may review or override responses.
- Conversation history may be stored in our admin inbox for continuity, quality assurance, and follow-up.
- We configure integrations to send only the message content required for the service to function.
- You may ask to speak with a person at any time during a conversation.
8. Cookies and similar technologies
Our website may use cookies, local storage, and similar technologies for:
- essential functionality (session management, security, load balancing);
- remembering preferences where applicable;
- measuring traffic and understanding how visitors use our pages.
You can control or delete cookies through your browser settings. Blocking essential cookies may affect how some parts of the site work.
9. Sharing and disclosure
We do not sell, rent, or trade your personal information. We may share information with trusted processors who assist us under contractual confidentiality obligations, including:
- website and database hosting providers;
- email and notification services;
- Meta / WhatsApp (for message delivery and webhooks);
- AI API providers used to generate assistant replies;
- payment gateways and accounting tools for invoicing;
- professional advisers (lawyers, accountants) when necessary.
We may also disclose information if required by law, court order, or governmental request, or to protect the rights, property, or safety of Precknash, our clients, or others.
10. International transfers
Some of our service providers may process data in countries outside Zimbabwe, including the United States and the European Union. Where data is transferred internationally, we take reasonable steps to ensure appropriate safeguards are in place, such as provider contractual commitments and industry-standard security practices.
11. Data retention
We retain personal information only for as long as necessary for the purposes described in this policy, including:
- Enquiry records — typically up to twenty-four months after last contact, unless a project proceeds.
- Active client project data — for the project duration and a reasonable period afterward for support and warranty matters.
- Financial and tax records — as required by applicable law, often several years.
- WhatsApp conversation logs — while the enquiry or client relationship is active, then archived or deleted according to our internal retention schedule.
When information is no longer needed, we delete it or anonymise it where deletion is not immediately practicable.
12. Security measures
We implement reasonable technical and organisational safeguards, which may include access controls, encrypted connections (HTTPS), authenticated admin access, and restricted handling of API credentials. No method of transmission or storage is completely secure; please use caution when sharing information online.
If we become aware of a data incident that affects your personal information, we will investigate promptly and notify you or relevant authorities where required by law.
13. Your rights and choices
Subject to applicable law, you may have the right to:
- request access to personal information we hold about you;
- request correction of inaccurate or incomplete information;
- request deletion where we no longer have a lawful reason to retain it;
- object to or restrict certain processing activities;
- withdraw marketing consent;
- receive a copy of information you provided in a portable format where technically feasible.

14. Marketing communications
We may send occasional updates about Precknash services, case studies, or events where you have opted in or where we have a relevant existing business relationship and local law permits it. Every marketing email includes an unsubscribe option. Opting out of marketing does not affect service-related messages about active projects or account matters.
15. Children’s privacy
Our services are directed at businesses and adults. We do not knowingly collect personal information from children under sixteen. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.
16. Third-party links and embeds
Our website may link to external sites (for example, social profiles, partner tools, or client projects). We are not responsible for the privacy practices of those third parties. Review their policies before submitting personal information.
